# Find the tenders worth a bid, before they close.

RFP finder is an AI agent that finds public tenders worth a bid. Each run it searches the procurement portals you name, opens every notice to check the buyer, closing date and value, compares each one with your bid profile, and posts a ranked list of fits to Slack. You build it in Arclyx from one sentence.

## Why do teams miss good RFPs?

Because the notices are spread across many portals and nobody checks them all every week. Federal, provincial and city buyers each post in their own place, search snippets leave out the details, and response windows are short. Teams find a good fit when the window is nearly shut, or not at all.

Without it:

- Someone checks the portals when there's time.
- Good tenders turn up days before they close.
- Notices judged from a two-line search snippet.
- The same tender found twice on two portals.

With RFP finder:

- Every portal searched every Monday.
- Fits found while there's time to respond.
- Every detail checked on the notice itself.
- Duplicates merged into one ranked list.

## What does an AI RFP finder look for?

Tenders on the portals you name, in the areas you bid on, checked notice by notice against your profile.

### Tender portals

Federal, provincial and city portals you name, each searched for notices posted in the last seven days. For example: CanadaBuys, BC Bid, City portals.

### The work you bid on

The areas in your profile. Each one gets its own search on every portal, so nothing hides behind a broad keyword. For example: Software development, AI and data, Cloud and DevOps.

### Checked details

Buyer, posting date, closing date, estimated value and link, read from each notice page rather than a search snippet. For example: Closing date, Estimated value, Buyer.

### Fit and risk

Each notice compared with your scope, value range and exclusions, with one line on why it fits and one on the risk. For example: Why it fits, Risk, Exclusions.

## How does an AI RFP finder work?

Every run follows the same five steps, then posts one list. Each step uses one tool, and only the last one writes anything.

1. **Reads your RFP profile** (Document search, reads): Scope, value range, closing-date rules and exclusions.
2. **Searches each portal** (Web search, reads): One search per area and portal, for the last 7 days.
3. **Opens every notice** (Web fetch, reads): Buyer, dates, value and link, read from the notice itself.
4. **Posts the fits** (Slack, posts): Drops duplicates, closed tenders and anything you exclude, then ranks the rest, each with why it fits, the risk and a link.

When it runs:

- Schedule: Mondays at 7:00, before the bid meeting
- @mention: @rfp-finder anything new for data and dashboards?
- Webhook: Run when your CRM marks a bid as lost, to find the next one

## From one sentence to a bid list in Slack.

Describe the job, let Arclyx draft the agent, test it once on real portals, then read what lands in #bids. Every fit links to its notice.

Example output in #bids, "RFP finder · week of 12 Oct" (placeholder companies):

- Buyer A · Software development: Case management system rebuild. Closes 6 Nov. Estimated value $250k to $400k. Fits your core scope of custom web apps. Risk: asks for two public-sector references. Source: example-a.com/tenders/2026-114
- Buyer B · Data and dashboards: Reporting dashboard for permit data. Closes 30 Oct. Estimated value: Not stated. Fits data and dashboards. Risk: a short window for a full response. Source: example-b.com/bids/rfp-0412
- Buyer C · Cloud and DevOps: Hosting move to a managed cloud. Closes 14 Nov. Estimated value $90k. Inside your value range. Risk: the team needs a security clearance. Source: example-c.com/procurement/88
- Buyer D · Unverified: An AI pilot for document intake, seen in search. The notice page wouldn't open. Not ranked. Check the link before you count it. Source: example-d.com/opportunities/ai-pilot

3 fits · last 7 days · 5 portals checked, 1 not reachable

## One list, four teams.

The same Monday list answers a different question for each team that reads it.

- Bid managers: A short list of fits every Monday, with closing dates.
- Founders: New public work without checking five portals.
- Delivery: Early sight of the scope, so they can weigh in on a bid.
- Finance: The estimated value next to each fit, before anyone commits time.

## How do you find RFPs online?

Write down what you bid on, then search the procurement portals your buyers use every week and open each notice to check its dates and value. An AI RFP finder does that for you: it searches each portal, checks every notice against your profile, and posts the fits. In Arclyx that's five steps, starting with one sentence.

1. **Describe the job**: One sentence: what you bid on, which portals, how often, and where the list goes.
2. **Add your RFP profile**: A document with your scope, value range, closing-date rules and exclusions.
3. **Connect Slack**: Arclyx asks for the one channel it may post to.
4. **Watch a dry run**: Optional. See one full run on real portals before anything is posted.
5. **Schedule it**: Mondays at 7:00, or any time that suits the bid meeting.

The sentence that built it (Schedule, Mondays, 7:00):

> Every Monday at 7, search CanadaBuys, MERX, BC Bid and our city portals for software, AI and data tenders posted in the last 7 days, check each notice against our RFP profile, and post the fits to #bids.

### Or start from one of these sentences

- Daily federal check: "Every weekday at 8, search CanadaBuys for AI and machine learning tenders posted since yesterday and post any that fit our profile to #bids."
- One region, one area: "Every Monday, search BC Bid and city portals in British Columbia for data and dashboard tenders and post the fits to #bids-west."
- Ask on demand: "@rfp-finder search the Ontario Tenders Portal for cloud migration work posted in the last 14 days."
- Monthly pipeline view: "On the first Monday of each month, search every portal for tenders in our areas from the last 30 days and post a ranked list with closing dates."

## RFP finder vs portal alerts.

Checking portals by hand and setting up email alerts each cover part of the job. Here is what each one does, and doesn't, do.

| What you need | By hand | Portal email alerts | RFP finder |
| --- | --- | --- | --- |
| Portals covered | Whichever ones someone opens | One portal per alert | Every portal you list, each run |
| Checks fit against your profile | Depends who reads | No, it matches your search criteria | Yes: scope, value and exclusions |
| Details checked on the notice | If someone opens it | You open each notice | Yes, before it's listed |
| What you get | A list in a doc or inbox | An email or feed item per update | One ranked list in Slack |
| Setup | A weekly calendar slot | A saved search on each portal | One sentence and your profile |

## Is an AI agent safe to run on bid research?

It reads public notices and your profile, writes one message, to Slack or your inbox, and records everything it does. It never logs in or submits anything, and every run has a spend ceiling.

### Every run is recorded

- Every step, in order: Each run keeps a trace: what it searched, which notices it opened, and what it decided.
- Every notice, linked: Each fit links to the notice it came from, so anyone can check it.
- What each run cost: Tokens and cost are recorded per run and per agent, next to your plan's limits.
- A ceiling on every run: A run that would pass its dollar ceiling stops and tells you, rather than carrying on.

### It can

- Search public tender portals
- Read public notice pages
- Read the RFP profile you share with it
- Post to one Slack channel you name, or email you

### It can't

- Log in to any portal
- Register for or submit a bid
- Email anyone but you
- Post anywhere else
- Change your profile

## RFP finders, answered.

### What is an RFP finder?

A tool that finds requests for proposals and public tenders that match what you sell. This one is an AI agent: it searches the portals you name, opens each notice, checks it against your bid profile, and sends only the fits, each with a link.

### Which tender portals can it search?

Portals with public notice pages, such as CanadaBuys, MERX, BC Bid, the Ontario Tenders Portal and city procurement pages. It doesn't log in, so notices behind a sign-in are out of reach, and the message says which portals it couldn't reach.

### How is it different from portal email alerts?

A portal alert sends what matches a saved search on that one portal. RFP finder searches every portal you list in one run, opens each notice, applies your value range and exclusions, and says why each fit matters and what the risk is.

### How do I find RFPs as a consultant?

Write down the work you do, the contract sizes you want and what you won't bid on. Then search the portals your buyers use every week and read each notice. RFP finder does the weekly search and checking for you, from that profile.

### What if a notice doesn't state a value?

It says "Not stated" rather than guessing. Every detail in the message comes from the notice page itself, not a search snippet, and anything it couldn't open goes in a separate Unverified section.

### Does it write or submit bids?

No. It finds tenders; it doesn't write responses, submit bids or register on portals. It reads public pages and sends one message, to Slack or your inbox. The decision to bid stays with your team.

### Can I get the fits by email instead of Slack?

Yes. Arclyx can send the fits to your own inbox instead of Slack, or as well as it. The email only ever goes to you, the person the agent runs for: it has no way to email anyone else.

### Do I need to write code?

No. Describe the job in one sentence. Arclyx builds the agent, connects the tools, and can show you a dry run before you schedule it.
